Operations Coordinator

Responsibilities & Duties

Booking & Assignments:

  • Make sure next day’s jobs have been assigned and acknowledged
  • Confirm all appointment details with real estate agents, ensure accessibility of their contact information, and note any special instructions for photographers.
  • Ensure all photography assignments allocated to photographers are acknowledged and scheduled promptly.
  • Verify that all photography services and packages are accurately booked and documented for each client order.

Communication:

  • Coordinate with the shift supervisor and photographers for any on site re-shoot requests from real estate agents.
  • Liaise with the shift supervisor of any feedback from real estate agents on delivered photography/media for follow-ups and quality assurance.
  • Notify the shift supervisor of all special requests, such as discounts, photography at open houses or events, and new orders from real estate agents. Address and follow up on any escalations or issues raised by clients or the editing, delivery teams.
  • Actively monitor communication channels for new same-day requests from real estate agents and promptly schedule and communicate the same to photographers.

Delivery & Uploads

  • Monitor and ensure timely delivery of photography services to real estate clients.
  • Handle same-day delivery requests by coordinating with editors and assigning tasks on the project management platform (e.g., Jira).
  • Oversee media uploads: Including but not limited to making sure all floor plans have been processed, social media photo reels are moved to uploaded, etc.

Qualifications:

  • Must have a Bachelor’s degree from a recognized university.
  • Must have 2+ years’ experience working in the BPO industry.
  • Must have 2+ years’ experience working in a similar role.
  • Excellent written and verbal communication skills
  • Excellent Reporting and Analytical skills
  • Strong Interpersonal skills
